Private Lesson Policies

We are grateful to help you pursue your musical journey. We strive to create and clearly communicate our policies in the interest of courtesy and fairness to students, parents, guardians, and teachers. The policies below outline the basic expectations of our relationship with you as a member of our teaching studio:

Payments

Payments will be made through the registration and scheduling website: TeacherZone.com. Payment for a Trial Month is due the first date of your lessons and will be billed automatically through TeacherZone, there are no refunds available for a Trial Month. For those choosing to enroll in ongoing lessons, the first payment is due at enrollment and will be prorated for the number of weeks remaining within the month of enrollment. After that, billing is automatic on the first of every month following enrollment. If a student is opting to pay by check, please email admin@musicinstitute.com to complete their registration. Failure to submit a check payment before its due date will result in the student being removed from the schedule until payment is received. Any fees assessed for Non-Sufficient Funds are the responsibility of the student opting to pay by check.

Canceling a Lesson

If a student needs to cancel a lesson, a 24-hour notice of absence is required for a make-up lesson to be provided. If a student cancels the day of their lesson, without 24-hour notice, there will be no make-up lesson offered. We can extend grace in the case of an emergency, but it is at the administration’s discretion. Please be courteous and respectful of your instructor’s time by informing staff of a lesson cancellation before the time of your lesson, even if you cannot do so 24 hours in advance. To cancel a lesson, please contact your teacher and include administration in your message by email, admin@musicinstitute.com, or phone (916) 773-7099.

Make-Up Lessons

After a make-up lesson has been offered, it is the parent’s and/or student’s responsibility to work with the teacher to schedule their make-up lesson. We will not give out any refund if a make-up lesson cannot be scheduled by the student. Students have up to 90 days to schedule a make-up lesson. If it has not been scheduled within 90 days of the make-up being offered, then the make-up lesson will expire. Students can have a maximum of 4 unredeemed make-up lessons at a time. For example: If a student is canceling a lesson and they already have 4 unredeemed make-up lessons, then one make-up lesson is considered forfeit. Exceptions to this policy are at the discretion of Administration.

Teacher Cancellations

Our teachers put a lot of effort into their lessons for their students and we do our best to honor them for the hard work they do. On occasion, they may need to cancel a lesson due to illness, an important appointment, or a planned vacation. If either of these cancellations take place, the teacher may choose to either recruit a substitute teacher, provide a make-up lesson at another date, or have administration prorate your following month’s tuition for the lessons missed.

Tardiness

We appreciate our students being on time, as it demonstrates respect to both you, your instructor, and students following your lesson. Lessons will end at their scheduled time regardless of tardiness. If a student is 15 minutes late without any notice, and they are the last student of the day for their instructor, the instructor is permitted to leave.

Withdrawal from Ongoing Lessons

The Music Institute requires 30 days written notice prior to the day of withdrawal. This notice must be submitted via email to admin@musicinstitute.com. If a student decides to withdraw without giving 30 days written notice, they will not be refunded for any lessons remaining within the following 30 days. We understand that sometimes hardships in life will come up without warning, so exceptions to this policy can be made for emergencies at Administration’s discretion. Students who are withdrawing from ongoing lessons will forfeit any uncompleted make-up lessons that they may have after their last date of lessons.

Short Break from Ongoing Lessons

Short Breaks are defined as a student pausing lessons for equal to or less than 30 days. In the case of a student taking a short break, if you do not want to have any make-up lessons owed to you then please contact administration before the next billing cycle so that we can adjust your bill for the following month to reflect the number of lessons you’ll be taking. A student taking a short break can keep their reserved lesson time.

Extended Break from Ongoing Lessons

Extended Breaks are defined as a student pausing lessons for more than 30 days and have the intention of returning to lessons after their extended break. To best honor our teacher’s time and ability to maintain a full schedule, students taking an extended break will need to provide us with 30 days written notice prior to the start of your extended break. We are only able to reserve a lesson time for up to 30 days, so students taking extended breaks will need to schedule a new lesson time before they return to lessons.

Communication Between Student and Instructor

Teachers are given access to the contact information that is associated with the student’s TeacherZone account and will contact the student by phone and/or email. If a minor is contacting a teacher, then the parent or guardian must be included in the electronic conversation. This is so that all conversations between minors and teachers are monitored by a parent as a safety practice for all involved. Teachers, parents, guardians, and students must comply with this policy. Please alert administration immediately if you become aware of any infractions. Parents/guardians of minor students accept full responsibility for monitoring communications. It is also the responsibility of the parent or adult student to inform the Music Institute of any changes to your contact information.

Responsibility to be Aware of Events, Emails, etc.

It is the responsibility of the parent or adult student to be aware of Music Institute dates and events including, but not limited to: recitals, when the studio is open and closed, and when lessons have been canceled by staff. The calendar for observed holidays and breaks is posted on our website, musicinstitute.com, as well as in our building, for everyone to view and be made aware of. If a student is unsure about their lesson schedule, they can always contact their teacher, administration, or they can view their lesson schedule online by logging into their Teacher Zone account. It is also the parent’s or adult student’s responsibility to check for email updates from the Music Institute.

Holiday Closures

The Music Institute will be closed for limited days throughout the year for holidays. Tuition remains the same amount for each month. Some months have five weeks, resulting in a 5th lesson at no additional charge. Holiday closures and months with five weeks balance out the number of lessons provided over the course of the year. To ensure that students receive full value for monthly tuition, we are only closed for the holidays that are the most popular for travel and are spaced evenly throughout the year. We are not closed for all Federal holidays but encourage acknowledging and celebrating those holidays that occur while we are open. The full list of holiday closures can be viewed on our website and are posted in our building.

Care of Students

Parents/Guardians are required to remain with their children until their lessons begin, and meet them immediately after lessons conclude. This is for safety reasons and fairness of the teaching staff and operation of the Music Institute. Please do not leave minors unattended at the Music Institute for any reason. There is no guarantee that the administration office will be staffed during lesson hours. If a child is left unattended in the lobby, the Music Institute will not be held liable for any consequences that may occur. If a person unknown to your teacher is picking up a minor child, please notify your teacher in advance. If a minor student is driving themselves and/or siblings to and from lessons, please let their teacher know so that they are aware that they are permitted to leave without a parent present.

Media Awareness and Consent

We are proud of our students’ accomplishments as they make progress in their music classes. To showcase how well they are doing we may take pictures or videos during lessons, recitals, or other Music Institute related events. We sometimes post pictures of students on our website, social media sites, and printed publications. We want you to be aware of this and rest assured that pictures and videos are not used for any purpose except to encourage others, assess progress, and promote our music studio. By completing this registration you are granting permission for this purpose, however if you would like to opt out of this and request that we do not take and/or publish photos or videos of your student, then please email admin@musicinstitute.com with the subject line: “Media Consent Exemption.” We are happy to accommodate you!

Group Class Policies

Payment

Payments will be made through the registration and scheduling website: TeacherZone.com. The tuition for each course a student registers for, is to be submitted directly to the Music Institute of Roseville via TeacherZone and is due upon registration. If a student chooses to opt out of online payments, then they cannot continue with TeacherZone registration and must pay via check at least 3 days prior to the course’s start date. If a student is paying by check, they must contact the studio administrator by emailing admin@musicinstitute.com to complete the registration.

Withdrawal

Since group courses have a required minimum student number, students must withdraw from a course at least 3 days prior to the course’s start date and the student will receive a full refund of their tuition. If a student chooses to withdraw from a course and does not do so at least 3 days prior to the course’s start date, then they will not be eligible to receive any refund. If 2 days prior to the course’s start date, the course does not have the minimum number of students needed for it to run, then the course will be canceled before it begins and students will be refunded in full. In the event that a course is canceled, students will be notified of the change immediately.

Missed Classes

There will be no makeup lessons or full refunds for missed classes in group courses. We understand that situations do arise, but we ask that you please be courteous and respectful of your instructor’s time and inform administration if a class will be missed. Each student is eligible to miss one class and receive a refund of 50% of the cost of the single class missed. A 24-hour notice of absence is required in order to receive the refund of 50% of the cost of the single class. We can extend grace in the case of an emergency, but it is at the administration’s discretion.

Tardiness

We appreciate our students being on time, as it demonstrates respect to both you, your instructor, and fellow classmates. Lessons will end at scheduled time regardless of tardiness. If you arrive late, please enter your class quietly to avoid disruption.
